Share info about a processed file in structured .xml

To get status updates about processed files, I need to send an .xml or .csv file to a shared folder. This files will be picked up and processed.
I managed to send an e-mail with the information, but it isn't good enough.
Can anybody guide me in the right direction.
Mail says:
The order SAMPLE is is processed and placed on Press#1.
Email was triggered by this folder :
SAMPLE
